Job Title: Patient Care Coordinator Supervisor: Anthony Robateau Department: Front Desk Nonexempt: Hourly
Position Purpose: Process patients through registration with accurate information. Process incoming first visit/new referral appointment calls. Contact FV/NR appointments that have cancelled or no-showed and get them rescheduled. Correctly scan all registration paperwork in a timely manner and upload scanned images to patient accounts.
Essential Duties of this position:
Register each FV/NR patient accurately and timely, making sure to get all necessary information.
Be familiar with insurance and billing procedures in order to explain to the patient how we calculate patient responsibility. Be able to read the insurance verification form or account notes in order to counsel the patient regarding his/her financial responsibility to the clinic.
Explain all registration paperwork to the patient and have him/her sign all applicable paperwork.
Scan registration paperwork and upload to patient accounts.
Process all FV/NR incoming calls in a professional manner, striving to schedule appointment dates within 48 hours of contact.
Process all cancellation calls; reschedule those appointments at the time of the call if possible. Call back any cancellations or no-shows to reschedule as necessary.
Process incoming faxed referrals; scan referrals and call patients to make appointments if necessary.
Accurately schedule appointments.
Scan incoming referrals, insurance cards, etc. that were not part of the registration paperwork.
Distribute faxes, replenish printer paper supply and toner when needed.
Relay messages and information to therapists and staff correctly and efficiently.
Keep in contact with the clinical staff regarding changes to their schedules.
Contact patients regarding any changes to their appointments made necessary by a schedule change, weather, etc.
Work with the Billing Department in collecting patient responsibility on a daily basis. Be knowledgeable of the different payment requirements for different account types.
Maintain strict confidentiality of all patient and office related matters, adhering to HIPAA requirements as well as HPT’s policy regarding privacy and confidentiality.
Assume responsibility for personal growth, development and own actions.
Participate in staff meetings and team activities.
Maintain harmonious interpersonal relationships with fellow staff members.
Assist with other duties as directed by supervisors.
Skills: Computer skills; basic medical terminology; grammar, spelling and math skills; excellent written and verbal communication skills.
Financial Responsibilities: Collecting the patient’s share of charges on a daily basis and be knowledgeable of the different requirements of the different account types.
Communication: To the patient, patient’s family, physician offices, Billing department and clinical staff. Keep therapists and aides informed of patient issues when appropriate.
Ability to use all of the following equipment: Computer, multi-line phone, calculator, fax, copier, paging system, scanner.
Working conditions: Multi-task, extremely busy at times, work closely with patients in a clerical manner.
Education: High school graduate, some college preferred.
Physical Demands: Requires full range of body motion including sitting, standing, walking and stretching. Ability to use office equipment. Corrected vision and hearing to normal range with ability to enunciate clearly and work under stressful conditions. Occasionally lifts and carries items weighing up to 35 pounds. Manual and finger dexterity needed for use of office equipment. Ability to lift 35 pounds from floor to desk height, carry 35 pounds 10 feet, sit eight hours, stand periodically, kneel, squat, reach floor to overhead and 40” horizontal.
